Payment Terms
1. Scope of These Payment Terms
These payment terms apply to reservations made directly with Fragrant Nature Hotels:
- Bookings on the official website: www.fragrantnature.com
- Bookings made via the hotel’s central reservations or the individual properties in Kochi, Kollam, and Munnar
If you reserve through an online travel agency or third‑party partner, their payment and prepayment rules will apply to your booking.
2. Accepted Payment Methods
For direct bookings, Fragrant Nature typically accepts:
- Major credit and debit cards
- Net banking / online bank transfer, where available
- Secure online payment links are provided on the “Pay Us” pages for Cochin and Munnar or shared by the reservations team for advance payments and balance settlements.
3. Advance Payment and Reservation Guarantee
- Direct bookings may require an advance payment or full prepayment to confirm the reservation, depending on:
- Rate plan (flexible vs. non‑refundable)
- Season (regular, pre-peak, peak)
- special offers or packages
- The advance amount and due date will be shown during booking or in your confirmation email.
- If it is not paid on time, the booking may be cancelled automatically.
4. Balance Payment at the Hotel
Unless otherwise stated in your rate plan:
- Any remaining balance is usually payable at the time of check‑in or check‑out, as per the hotel’s practice.
- Additional charges (meals, spa, activities, taxes not included in the rate, etc.) are settled at check‑out using the same accepted payment methods.
- “Other inclusions” not listed in your booking as complimentary will be charged as per the hotel tariff.
5. Currency, Taxes, and Charges
- All rates for Fragrant Nature properties in Kerala are generally quoted in Indian Rupees (INR), unless specified otherwise on a partner site.
- Taxes (such as GST) and service charges are applied as per prevailing government rules on the date of stay or billing.
- The hotel is not responsible for:
- Bank or payment gateway fees incurred during payment or refunds.
- Currency conversion differences may apply.
6. Refunds and Processing Time
If a booking is cancelled within the allowed cancellation period (as per the Cancellation Policy you already drafted), any eligible refund will:
- Be processed only to the original mode of payment used at the time of booking.
- Generally take 7–14 working days to reflect, depending on the bank or card issuer.
- Refunds are issued after deducting bank fees, gateway charges, and currency differences.
7. Third‑Party and OTA Bookings
- If your reservation was made via:
- Online travel agencies
- Tour operators
- Corporate travel partners
- Payment terms, deposits, and prepayment rules of that platform or partner apply to your booking.
- Any changes to payment, including refunds, must usually be handled through the same third party.
